International House Vilnius Office Administrator (Maternity cover)

International House Vilnius is every foreigner relocating to Vilnius’ best friend – our goal is to make the relocation and integration process as smooth as butter. To do this, we must ensure our office runs like clockwork. For this purpose, we are searching for someone who will make our second home running efficiently.

By joining us, you will be in charge of:

  • Greeting, meeting and talking to our clients. They often have questions – be ready to learn a lot about relocation and integration procedures in Lithuania!
  • Ensuring the smooth operation of the office – internal and external enquiries, administration of correspondence and shipments, provision of stationery, making sure the office has enough snacks and coffee to keep everyone happy throughout the day.
  • Administration of office expense invoices and company documents (letters, orders, service contracts).
  • Internal communications – you will share the most relevant information about office procedures, congratulate colleagues on Vilnius' birthday and other occasions, initiate the improvement of office management processes and be the point-of-contact for colleagues.

Are you our dream candidate?

  • You should have customer service experience and, most importantly, be a people person. Constant communication and cooperation will be part of your daily routine.
  • Excellent knowledge of English and Russian are a must to communicate with our clients.
  • Knowledge of Lithuanian at a B1 level or higher. You’ll need it to communicate with suppliers and partners.
  • The ability to prepare and manage company documents will ensure a successful start. By the way, we manage documents in an electronic system and strive to make our office paperless!
  • Challenges and previously unheard questions will not cause you fear, but will motivate you to learn and look for solutions. Additional information:

Estimated monthly salary, depending on the candidate's experience and qualifications: EUR 1500-2000 (gross).

Your employment contract will be fixed-term.
